What is Maileva?
At the basic level Maileva is a system that enables you to produce and send physical mail directly from an internet enabled PC, saving you time and money. However Maileva also provides user management tools, reports, document archiving, and much more. Click here for a diagram and detailed explanations.


How does Maileva work?
Maileva allows you to create your mail piece and upload your addresses using Maileva Online, or Maileva can be integrated within your network so you can create letters using MS Word or other applications. When you click on 'print' the Maileva system converts the documents into print-ready PDF files, batches them and sends them over the internet to print on our state of the art digital print presses. They are then inserted into envelopes using modern industrial machines, Mailsorted, and collected by Royal Mail or Downstream Access providers. What does it cost?
To get up and running with Maileva Online is free andyou are then charged per mail piece you send. There is no minimum order or contract andno software to install. To find out prices please contact us on 01234 84 84 24. This price will include paper, envelope, print, inserting, sorting, and postage.

If you require significant system development to integrate the system within your own IT systems or require us to be involved in user training then there may be some set up charge, but this will be kept to a minimum. You then pay for the number of pages that are printed and items that are mailed, and volume discounts are available. There are also additional services such as legal document archiving, email, smsbroadcastingetc which is also charged on a pay as you go basis. Who can use Maileva?

How can Maileva save me time?

What do I need to use Maileva?
All you need to access the system is a computer with internet access, and a web browser (e.g. Internet Explorer or Firefox). To use Maileva Online no special software is required, and there is nothing to install. You will need Microsoft Word, or an equivalent package that can output .doc or .pdf files, and you may also need a spreadsheet package (such as Microsoft Excel) to prepare your address data files. If you want to roll out Maileva across a department or to branches, or you want to integrate Maileva in a CRM or Accountancy package then some IT work will be necessary, but nothing that is beyond most companies IT departments.

 
How is it printed and inserted into envelopes?
We print your letters using state of the art Xerox digital printers, and then use our Pitney Bowes industrial mailing equipment. Find out more>>

 
What can I send?
You can send up to 6 sheets of double-sided A4 paper (12 sides) in a C5 envelope, or up to 45 sheets in a C4 envelope. These can be full colour or black and white documents and examples include letters, invoices, statements or marketing material. You will soon also be able to include a Business Reply Envelope.

 
Is Maileva secure?
Yes. Your letter will be securely encrypted by the Maileva software which means that your letter cannot be read by others whilst in transit and will be printed automatically and securely at our secure print and production facility which has CCTV and secure entry doors. The Maileva website uses the highest strength 128 bit encryption, so you can be sure that your details will be safe, and we are Data Protection Act Registered.

 
How long will it take for letters to arrive with recipients?
As long as you hit the day's deadline your 1st class letter will arrive next day. Our Second Class service will deliver in 2 to 3 days, and the Special Delivery and Registered Mail solution are the same as Royal Mail's delivery aims.

 
How do I know when my letters have been produced and mailed?
You can check the status of orders at any time, and you will receive emails to confirm safe receipt of your documents, and when they have been collected by Royal Mail etc.

 
What are the cut off times? 
1st class - Submit your mailing by 1pm
Recorded & Special Delivery - Submit your mailing by 3pm
2nd class - Submit your mailing by 1pm.

 
What happens to any letters that cannot be delivered?
Any mail that comes back from Royal Mail as "undeliverable" will be scanned and we will return a data file to you so you can update your database. The Maileva system also includes address enhancement tools to minimise non-deliverables.

 
Is Maileva environmentally friendly?
Yes. The Mailevahybridmail solution can help you reduce your organisations carbon footprint. This is because Maileva provides energy savings, reduced wastage, less paper is used, FSC paper is used, and our digital printers use no chemicals, gases etc. Maileva hybrid mail also reduces trucking miles i.e. instead of postal lorries collecting from dozens of offices they only need to collect from us. Also by pre-sorting the mail we save the postal operators from having to double handle the mail which again saves resources.
Our production facility is also working towards ISO4001 accreditation and FSC accreditation by May 2011.

 
Can I integrate Maileva with my CRM system and my other marketing systems i.e. email and SMS marketing systems?
Yes you can integrate Maileva with other applications. Maileva also has built in capabilities for sending email, fax, and SMS messages too.

 
Do you collect my mail?
No. You send your mail to us by pressing print in your usual software or on Maileva Online and the documents are sent to us over the internet where they are printed and mailed.

 
I am an organisation with many different employees, departments, branches etc. Can I have different accounts?
Yes. Maileva is ideal for this scenario. You can have multiple users, and your system administrator can set user permissions, budgets etc, upload templates, and view usage reports.

 
Why is my post delivered by Royal Mail?
Almost all mail handled by Downstream Access postal operators i.e. UK Mail, TNT etc is still finally hand delivered by a Royal Mail postman/woman.

 
How do I pay for Maileva?
Most clients set up an account and will be invoiced monthly, however a pre-payment account can also be set up, and online payments will soon be accepted.Because Royal Mail still have a monopoly on 'final mile delivery'.

 
Is there a contract?
Typically not. You can use Maileva as much or as little as you need to. There’s no minimum order, and no contractual tie in. However if you are a corporate user and require system development or would like to benefit from maximum volume discounts we may negotiate a contract term.

 
What if I need support?
We provide online support and telephone support from our offices in Bedford. We are a real company with a friendly customer services team, and larger corporate accounts will also have an Account Manager to help them get the most from Maileva.

 
Can I trust Maileva? Who are the people behind it?

The term hybrid mail has been established because it is a hybrid of online communications and postal communications.
